FULL-SERVICE VS. PARTIAL WEDDING PLANNING: WHICH IS RIGHT FOR YOU?

Planning a wedding should be exciting. But once you start looking at venues, vendors, budgets, timelines, guest lists, and all the little details that go into a wedding day, it can quickly feel like a lot to manage. The good news is that you don't have to do it all yourself. Hiring a Sarasota wedding planner can give you the guidance and support you need while allowing you to stay focused on what matters most: enjoying this season of your life and celebrating with the people you love. At BB Weddings & Events, we offer three different levels of planning and coordination: Full Planning, Partial Planning, and Signature Planning. Each option is designed for couples at a different stage of their wedding planning journey. So, how do you know which one is right for you?

Full Planning: For Couples Who Want Support From Start to Finish

If you've just gotten engaged and you're not sure where to begin, Full Planning may be the best fit for you. Planning a wedding involves much more than choosing flowers and picking a first dance song. There are contracts to review, vendors to book, payments to track, appointments to schedule, layouts to create, and hundreds of details to keep organized. With Full Planning, BB Weddings & Events works with you throughout the entire planning process to help turn your ideas into a cohesive wedding. The process begins with understanding your style, vision, priorities, and budget. Your planner will work with you to create an inspiration board that reflects your vision and can be used when communicating with your vendors.

From there, BB can help you find a venue that fits your style and budget, arrange and attend site visits, and serve as the liaison between you and your venue. Once your venue is selected, your planner can also help develop your ceremony and reception layouts and seating plan. Your vendor team is another major part of the planning process. Whether you need a photographer, videographer, florist, DJ or band, cake designer, stationer, transportation, or hair and makeup team, BB can recommend vendors based on your style and budget and assist with meetings and communication. Full Planning also includes personalized budget management. Your planner will help you clearly define your wedding budget, allocate funds, and stay up to date on your spending. And because wedding planning doesn't stop at the vendors, BB can also assist with out-of-town guest accommodations and transportation upon request, as well as coordinate your wedding rehearsal.

By the time your wedding day arrives, you'll have a detailed timeline covering everything from setup to breakdown. BB will distribute the approved timeline to your vendors and handle the logistics so you aren't the one answering questions or checking whether everyone has arrived. Full Planning includes 10 hours of wedding day coordination, including setup and breakdown, with an additional assistant available for weddings of up to 200 guests. From organizing the wedding party before the ceremony to coordinating entrances, speeches, special dances, the bouquet toss, and grand exit, BB is there to keep the day moving according to plan. Full Planning is ideal if you want someone beside you throughout the entire wedding planning process.

Partial Planning: For Couples Who Have Already Gotten a Head Start

Not every couple needs help from the very beginning. Maybe you've already found your venue. Maybe you've booked your photographer and florist. Maybe you've even picked your colors, created a Pinterest board, and started checking things off your wedding checklist. If you've already done some of the planning but want professional guidance to help you finish everything, Partial Planning may be the right choice. With Partial Planning, BB Weddings & Events steps in to help you organize the pieces you've already put together and take care of the areas where you still need assistance. You'll have up to 7 hours of face-to-face consultations, vendor meetings, and site visits, along with unlimited email and phone communication throughout the planning process.

BB will also create an extensive wedding day timeline and itinerary, covering the day from setup through breakdown. After you approve the timeline, it will be distributed to your vendors so everyone is working from the same plan. Another benefit of Partial Planning is having someone review your vendor contracts and confirm the important details. If you still have vendors to book, BB can also assist with booking up to three vendors that you still need. Just like with Full Planning, Partial Planning includes rehearsal coordination and assistance with out-of-town guest services upon request. And when the wedding day arrives, you receive the same 10 hours of wedding day coordination, including setup and breakdown. Your planner will oversee vendor setup, serve as the point of contact for vendors, troubleshoot problems, set up personal décor, assist you and your wedding party, organize the ceremony processional, and help keep your reception events on schedule. Partial Planning is a great option if you've already done some of the work but don't want to handle everything on your own.

Signature Planning: For Couples Who Have Planned the Wedding Themselves

Then there are couples who genuinely enjoy planning. You've found your venue. You've booked your vendors. You've made the big decisions and probably have a very good idea of how you want your wedding day to look. You don't necessarily need a wedding planner to plan your wedding. You just don't want to coordinate it yourself. That's where Signature Planning comes in.

Signature Planning is designed for couples who have handled most of the planning but want an experienced professional to take over the final logistics and wedding day coordination. Before the wedding, you'll have two face-to-face consultations to discuss the details of your day, along with unlimited emails and phone conversations to finalize the wedding day logistics. BB will create a detailed wedding day timeline covering everything from setup through breakdown and distribute the approved timeline to your vendors. A ceremony and reception layout will also be created based on your final guest count. One of the biggest benefits of Signature Planning is the vendor relationship. BB will personally contact your vendors and introduce themselves as your coordinator. They'll review and confirm the wedding day timeline with your vendor team and attend the final venue walkthrough to become familiar with the space and the ceremony and reception layouts. That preparation means your coordinator already understands the plan before your wedding day arrives.

On the wedding day, Signature Planning includes 10 hours of coordination, including setup and breakdown. Your coordinator will oversee vendor setup, serve as the main point of contact, handle deliveries, troubleshoot issues, set up personal décor, assist the couple and wedding party, and keep the day's events moving according to the timeline. They'll also help make sure personal items and gifts are collected and ready for your exit at the end of the night. Signature Planning is ideal for couples who want to plan their own wedding but don't want to manage the logistics once the big day arrives.

So, Which Wedding Planning Service Is Right for You?

The best place to start is by asking yourself one simple question: How much of the planning do I want to do myself? If you're starting from scratch and want professional guidance throughout the entire process, Full Planning gives you the most comprehensive level of support. If you've already made some major decisions but still have planning left to do, Partial Planning gives you the flexibility to get help where you need it. And if you've planned nearly everything yourself and simply want someone else to manage the logistics, Signature Planning allows you to hand over the coordination and enjoy your wedding day. There's no right or wrong answer. The best planning service is the one that fits where you are in the planning process and how much support you want.

Why Wedding Coordination Matters

Regardless of how much planning support you choose, having someone responsible for your wedding day logistics can make a huge difference. Think about everything happening behind the scenes on your wedding day. Vendors need to arrive and set up. Personal décor needs to be placed. The wedding party needs to be ready for the ceremony. The timeline needs to stay on track. Deliveries need to go to the right place. Special moments need to happen at the right time. And when something unexpected happens, as it sometimes does, someone needs to handle it. That someone shouldn't have to be you. Your wedding day is not the time to be checking the clock, answering vendor questions, organizing the bridal party, or wondering whether the cake has arrived. You should be getting married. You should be celebrating. You should be on the dance floor with your friends and family. That's the value of having a professional wedding coordinator there to manage the details behind the scenes.
